Email signature management for Microsoft 365

No. EasySignature365 never reads, processes, or stores the content of your corporate emails, including message bodies, attachments, or email metadata. EasySignature365 does not route emails through external servers or third-party infrastructure. Your emails and email data remain entirely within your own Microsoft 365 environment. The platform only accesses the Microsoft 365 tenant data required to generate and manage email signatures. Your corporate email data stays within your environment at all times.

EasySignature365 is hosted on Microsoft Azure, with application and configuration data stored in Microsoft data centers within the EU. Your corporate email content is never stored or processed by EasySignature365 and remains within your own Microsoft 365 environment. Our security controls and operational processes are independently audited against IT General Controls (ITGC) aligned with SOC 2 and ISO 27001 control frameworks.

EasySignature365 connects securely to your Microsoft 365 tenant using Microsoft Graph and OAuth 2.0. We follow the principle of least privilege and request only the permissions required to manage and deploy email signatures. This includes read access to relevant Microsoft Entra ID information, such as user profiles and group memberships, which can be used to dynamically populate signature templates and control signature assignments. EasySignature365 does not modify your Microsoft Entra ID user or group data, and your Microsoft 365 credentials are never shared with or stored by EasySignature365. EasySignature365 does not require changes to your Microsoft 365 mail flow and does not route email through EasySignature365 or any third-party SMTP relay. Signatures are deployed directly within the user's Microsoft 365 environment using Microsoft APIs and supported Outlook capabilities, rather than intercepting emails in transit. Your email continues to be sent and delivered entirely through Microsoft 365 and Exchange Online, keeping your corporate email content within your Microsoft 365 environment.

No. EasySignature365 requires no Outlook add-ins, endpoint agents, browser extensions, or other local software installations. Signatures are centrally managed and deployed through Microsoft 365, with no software to package, distribute, update, or maintain on individual endpoints. EasySignature365 currently supports Outlook for Windows and Outlook on the Web (OWA).

Yes. EasySignature365 supports both cloud-only Microsoft Entra ID and hybrid Active Directory environments. Signature assignments can be targeted using Microsoft Entra ID groups, departments, or individual users. In hybrid environments, users, groups, and attributes synchronized from on-premises Active Directory to Microsoft Entra ID can be used by EasySignature365 for signature management and targeting. This allows different departments, teams, or users to automatically receive the appropriate signature, branding, disclaimers, or campaign banners.

EasySignature365 automatically uses identity information from Microsoft Entra ID to populate dynamic signature fields such as name, job title, department, email address, and phone numbers. In hybrid Active Directory environments, changes made to synchronized attributes in on-premises Active Directory are first synchronized to Microsoft Entra ID through your existing Microsoft Entra synchronization setup. EasySignature365 then uses the updated information for the user's signature. This means organizations can continue managing user information in Active Directory or Microsoft Entra ID, depending on their Microsoft 365 identity architecture, without having to manually maintain individual signatures.

Yes. EasySignature365 cleanly separates technical environment control from visual asset management. While IT retains full master-admin control over the connection and groups, Marketing can be granted access to the signature editor. Marketing teams can independently launch event banners, update social media links, or deploy campaign CTAs instantly without creating IT support tickets.
